Setting up a Known List of Signers in Participants

This article walks through the type of participant called a Known List which allows the user to choose from a group of potential signers.

When setting up a workflow for signers and participants there may be cases where there are multiple potential people who can sign. A great example would be a list of all of the Department Heads in a particular organization so that you can choose the leader of your own department to sign. A Known List allows for a list of Participants when there may be different participants needed for different responses to forms.

To set up this up you will go into your Participants Settings and choose the Known List participant type:

You will be taken to a screen where there will be a box to enter in your list of potential signers/participants:

To make a list you will type in your Participants in the following way: Label <email address> then press Enter. In the screenshot above you can see an example of how this will look. You are not required to have a label for each of the Participants, but rather could have their email address display.

You can even copy and paste a full list of Participants by using the structure above and separating each participant by a comma.

Note that the limit for the number of participants in a Known List is 150.
