This article will focus on how to customize the Activity Notification on your SeamlessDoc (uploaded PDF).

What are Activity Notifications

Activity notifications are email notifications that are sent ONLY to the form author alerting them that there has been some activity on the form.

When are Activity Notifications Triggered

Activity Notifications are triggered whenever...

  • A Preparer prepares and submits the form

  • A signer signs or approves and submits the form

  • A signer decides to decline a form to end workflow

  • All signers have signed and form is complete

At least ONE signature field must be set up on your form or else no Activity Notifications will send.

Turning On/Off the Activity Notification Toggles

  1. First toggle option, Enable Activity Notification, is to turn on the email notification.

  2. Include Link to PDF is when you want to include a link within the email notification that will require the user to login in order to see the initiated or completed submission

  3. Include PDF As Attachment is when you want to include the initiated or completed submission as a PDF attached to the email notification and does not require the user to login
    a. Attachments will not show up in the email notification and not accessible via the completed PDF that is attached

  4. Recipient (Only 1 Email) is a field where you can manually enter in ONLY ONE email address to receive the email notification INSTEAD of the form author

Activity Notifications Emails

  1. Subject line will default to There has been activity on your SeamlessDoc

  2. Message body will depend on activity
    a. Form is prepared- Your SeamlessDoc, followed by the name of your form, has been prepared by a signer, followed by the name of the signer. If there are additional signers required, they will automatically be sent a link to sign or if all signers have completed their signatures you will receive an additional email with the final executed document.
    b. Signer signs and submits- Your SeamlessDoc, followed by the name of your form, was successfully signed by a signer, followed by the name of the signer. If there are additional signers required, they will automatically be sent a link to sign or if all signers have completed their signatures you will receive an additional email with the final executed document.
    c. A signer declines & ends Workflow- A signer, followed by the name of the signer, declined to sign your form, followed by the name of the form, Decline Reason, followed by the reason (if included).
    d. All signers have signed and form is complete- This is to confirm that your SeamlessDoc, followed by the name of the form, was successfully signed by all the intended signers. Thanks for using SeamlessDocs.
