A list of terms you will see throughout our GovOS Studio Platform. Terms divided up by products; SeamlessDocs, The GRM & Portals Manager.

Products

GovOS Studio (SeamlessDocs)- A complete suite of features built to help governments create web forms from scratch and transform their PDF documents into online services.

Government Relationship Manager (GRM)- CRM for governments to automate complex processes and build relationships with citizens and staff. A collaborative tool to help automate workflow and process submissions.

Portals Manager (Service Center)- Single centralized platform that allows governments to create custom portals and employee dashboard so that citizens and staff can access forms and resources.

General

Form- (Traditionally a piece of paper) A webpage that contains numerous fields, or spaces to enter data. Each field holds a field label so that any user who views the form gets an idea of its contents.

Submission- Completed forms filled out and/or signed by applicants.

PDF- Portable Document Format; a file format that provides an electronic image of text or text and graphics that looks like a printed document and can be viewed, printed, and electronically transmitted.

SeamlessDoc- Converted PDF. Users can upload a pre-existing PDF to be converted into an interactive, digital version.

SeamlessDoc Editor (Doc Editor)- Tool where you can upload a PDF and turn it into a SeamlessDoc.

WebForms- Built completely in HTML (as opposed to a PDF) which enables different functionality. 508 and ADA compliant, but can only hold one signature.

WebForm Builder- A blank canvas to build a beautiful and easy-to-use web form from scratch.

Wizard- A method to combine a SeamlessDoc and a WebForm so that the first signer will have the experience of a WebForm but then subsequent signers will see the uploaded PDF form. Original PDF is populated with the information user inputs into a WebForm.

Forms Manager (Lobby)- Home page when you first log in. It is where you create and organize forms, access and manage submissions, and configure account settings.

SeamlessDoc Editor (Doc Editor)

Signature Workflow- Forms that need to be signed or approved by multiple people and in a certain order. You can create and customize your own order.

Auto-Detect Fields- This feature will not only add fields to your form for you, but it will resize them and also label them for you.

WebForm Builder

Inspector- Gear Icon that appears when you choose an element that opens a window where you can customize the field settings.

Submissions Manager

Submission- Completed forms filled out and/or signed by applicants.

Submissions Manager- Portal that can access the submissions of a specific WebForm or SeamlessDoc. It can be accessed from the Forms Manager by clicking on the number to the right of a Form's Name. It will have the number of submissions you've received on that SeamlessDoc or WebForm.

Submission Details Panel- From the Submission Manager click on the row of the specific Submission, this will open up the Submission Details Panel where you can view the submission answers, any uploaded PDFs and the signature status

Signature Status- From the Submission Manager, you can see how many signatures have been completed and how many are pending/have yet to sign. Click anywhere on the submission to see the signature, details and status of the signature workflow.

Triggers- Automated actions based on Tags, Stages and Assignment to automate workflow and processing on your forms.

Assignments- Designate who should be working on or reviewing specific form submissions.

Stages- Custom labels that let users know the status of an Application either for internal processing, or for letting citizens and staff see the status from their Forms Manager. You can only have one stage per submission so think of these as the main status. Helps you track submission workflow.

Tags- Similar to stages but unlimited in number. Give context to submissions. Helps you organize submissions; can customize tags to show when a signature is pending.

Collaboration Features

Assignments- Designate who should be working on or reviewing specific form submissions.

Stages- Custom labels that let users know the status of a submission either for internal processing, or for letting citizens and staff see the status from their Visitor Lobby. You can only have one stage per submission so think of these as the main status. They help you track the submission workflow.

Tags- Similar to stages but unlimited in number. Give context to submissions. Helps you organize submissions; can customize tags to show when a signature is pending.

Conversations- An internal and external messaging tool. Users can see and post messages, attachments, and links to other forms. These messages can even address multiple users within the platform so that they get notified of the conversation.

Portals Manager (Service Center)

Sites- Multiple Form Centers with different forms available within your Service Center

Visitor Portal- Lets citizens and staff track all the forms they've submitted on a single secure platform.

Owner- Complete access to an account. They can view and edit all forms, view all submissions, create tags and stages, assign users to submissions, customize the account settings, as well as update and create new users.

Director- Access to all forms that they have created or that have been shared with them. They can build and customize portal pages in the Portals Manager.

Processor- Access to submissions on forms they've built and that have been shared with them in GovOS Studio or submissions assigned to them on a one-by-one basis in the GRM. Submissions can be assigned manually by Owner and Director users or automatically assigned using the submission rule builder.

Visitor- Access to view their own submissions. These are free and unlimited and can be created at the signup page.

Analyst- A limited user that can view and manage data, but they cannot create or edit forms.
